Privacy Policy
TitleCheckPro · a service of Homz Realty Corporation
The short version
- We use your documents only to prepare your report, and a person reviews every report.
- Your documents are read with Anthropic's Claude AI. Your files are stored in Singapore; our website is hosted in Indonesia.
- Title, tax declaration and similar documents are deleted 30 days after your report is sent. Government ID images are deleted within 7 days.
- If you upload documents but don't pay, they're deleted after 72 hours.
- We don't sell your data. Analytics and advertising cookies load only if you allow them.
- A broker may verify their PRC licence with two live photos of themselves holding their PRC card. A person looks at them, and we delete the photos as soon as it is decided, and in any case within 14 days.
- You can ask to see, correct or delete your data at any time: orders@titlecheckpro.app.
1. Who we are
TitleCheckPro (titlecheckpro.app) is a service of Homz Realty Corporation, Unit 207 Goland Plaza, Malvar Street, San Miguel, Puerto Princesa City, Palawan 5300, Philippines. We are the personal information controller for the data described here, under the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules.
Data Protection Officer: Nelson Portales, PRC Real Estate Broker Licence No. 29559
Email: orders@titlecheckpro.app
2. What we collect
From you, when you order:
- your email address, to send your report and messages about your order;
- your name, only if you choose to give one, to print as "Prepared for" on your report;
- the report you choose, the amount paid, any promo code, and your order reference;
- the documents you upload: for example a title, tax declaration, tax map, survey or lot plan, tax receipts, or a government ID;
- your confirmations: the data-privacy statement and the report declaration you ticked, and when you ticked them.
Inside the documents you upload. Property documents usually contain other people's personal information: registered owners, spouses, heirs, adjoining owners, and sometimes ID or tax numbers. A government ID contains sensitive personal information. See section 4.
Payment. Payments are handled by PayMongo. We receive the payment status, amount and method (for example "GCash"). We never see or store your card number or e-wallet login.
When you visit the website:
- Step counts without personal data: we count, per day, how many visitors reach each checkout step (for example "12 visitors chose the ₱299 report"). This stores no email, name, IP address or cookie.
- Analytics and advertising cookies: Google Analytics and the Facebook (Meta) Pixel load only if you click "Allow" in the cookie banner. If you click "No thanks", they don't load.
- Server logs: our hosting keeps standard technical logs (such as IP address and browser type) for security and troubleshooting.
- Visitors to a broker's website. A broker may add their own Facebook (Meta) Pixel or Google Analytics to their website. If they have, the website shows a cookie notice, and those tools load only if you click "Allow"; if you click "No thanks" they do not load. They are the broker's tools, not TitleCheckPro's: the broker decides to use them and is responsible for them. They are told which property page you looked at and a few things you did on it — whether you tapped the broker's phone number or email address, opened the inquiry form or the photos, saved or shared the property, and whether you sent an inquiry — but never your name, phone number, email address or message. If a broker has not added any, the pages use no cookies and no tracking. To protect the service, our server keeps a scrambled (hashed) form of a visitor's network (IP) address, used only to limit how often a page can be loaded. When a visitor opens a property, we also add one to a daily total for that property, together with only the kind of place they came from (such as Facebook, Google or a shared link). No name, IP address or cookie is kept with that total, and the broker sees only the totals, in the Listing Map tab. To show the map and the pictures of the area, the visitor's browser asks Esri (satellite imagery and place names) and unpkg (the map software) for them, as it does for any picture or file on a web page, so those companies can see the visitor's network address and browser details. A visitor who saves a property (the heart) keeps that choice only on their own device; we do not receive it. When someone shares a link to a broker's page, the app they share it in (for example Facebook or Viber) may fetch the page's title, description and picture to show a preview.
- If you send an inquiry from a broker's website. The form asks for your name, a phone number and/or email address, a message and, if you wish, how you would like to be reached (call, text, Viber, WhatsApp or email). If you reached the website through a link that carries campaign tags (for example from an advertisement), or from another website, the inquiry also carries the name of that campaign or website, so the broker knows what brought you; it is kept on your device for that visit only and is not used to follow you. You must tick a box to agree that the broker may contact you about your inquiry. We keep what you send for that broker, and email it to them so they can reply; we do not use it for advertising, we do not sell it, and no other broker sees it. The broker decides how to reply and is responsible for how they use your details, so please ask the broker if you want your inquiry deleted or corrected; you can also write to us and we will pass the request on or delete it. We keep an inquiry until the broker deletes it, or deletes their account. To keep robots out, the form has a hidden field and a short timer, and our server counts, in scrambled (hashed) form, how many inquiries come from one network address in an hour; the network address itself is not kept with your inquiry.
- If a broker sends you a link to confirm your property. A broker may send you a private link, by message or email, to ask whether your property is still available or whether its price has changed. The page shows the property's area and place, its asking price and the broker's name, and asks you to choose one answer and, if you wish, add a short note. You do not need to sign in, and we do not ask for your name, phone number or email address. We keep your answer, the new price if you give one, your note, and the time, for that broker. They do not change anything on the broker's map or website by themselves: the broker reads your answer and decides what to do. Please do not put personal details, such as ID numbers or bank details, in the note. We do not use your answer for advertising and no other broker sees it. The link works for 14 days and for that one property only. Like any website, our server may record the network address that opened the page, and counts, in scrambled (hashed) form, how many times one address tries in an hour, to keep robots out; the address is not kept with your answer. If the broker chose to email the link to you, we used your email address only to send you that one email, from our mailbox, and we did not keep it. Replies to that email go to the broker.
If you are a broker and choose to get verified: two photos of you holding your PRC Professional Identification Card, taken live with your camera (and, only if the card could not be read, a close-up photo of the card); and the details printed on the card that you confirm: last, first and middle name, Registration number, Registration date and "Valid until" date. A photo of your face and the number on a government-issued card are sensitive personal information. We record the time you gave your consent.
3. Why we use it, and on what legal basis

4. Personal information of other people in your documents
The documents you upload often identify people who aren't our customers, such as owners, heirs and adjoining owners. Before you upload, you confirm that the documents were lawfully obtained and that you have the consent or other lawful basis under RA 10173 to have them processed for your transaction.
We use that information only to compare the documents and prepare your report. If you are named in a document someone uploaded and want to use your privacy rights, contact our Data Protection Officer (section 11).
5. Who can see your data
- Homz Realty Corporation staff who prepare and review reports. They have access only as needed and are bound by confidentiality.
- Service providers who process data for us under agreements, and only to run the service:
| Provider | What they do | Where |
|---|---|---|
| Anthropic (Claude AI) | Reads the documents you upload to help prepare the report, and, for a broker who gets verified, reads the printed text on the PRC card in their photos | United States |
| Supabase | Stores orders, uploaded files and reports | Singapore |
| Hostinger | Hosts the website and sends our emails | Indonesia |
| Esri | Satellite pictures and place names shown on a broker's website | United States |
| PayMongo | Processes payments and refunds | Philippines |
| Google (Analytics) and Meta (Pixel) | Website analytics and advertising on our buyer page, and on a broker's website if the broker added them — in both cases only if you allow cookies | United States and other countries |
About the AI: documents are sent to Anthropic only to read them for your report. Under Anthropic's commercial terms, data sent through its API is not used to train its AI models. A person at TitleCheckPro reviews every report. The AI does not make the final call.
About verification photos: the AI is told to read the card's printed text only. It does not describe you and does not compare or identify faces. A person at TitleCheckPro looks at your photos and decides. Only the owner and administrators can open them, and every opening is recorded.
We do not sell your personal information. We share it with government authorities only when the law requires it.
6. Broker accounts and your saved readings
This section is for brokers and team members who use the TitleCheckPro reading tool with their own account.
What we keep for your account
- Your email address, your name if you gave it, and your plan.
- Your saved readings: the details the tool read from your documents, the plot, and your notes, so you can open the work again without paying twice. Saved readings are kept for 90 days, up to 50 at a time; saving a 51st removes the one you worked on longest ago. You can delete any of them yourself at any time from Saved Readings. If you work in a TitleCheckPro team account, your saved readings are visible to the other members of the team. They also keep what you type on Listing Intake — the contact person, and for the Authority to Negotiate the seller's address, civil status, citizenship and representatives, its terms and the names of the witnesses — and the name and email address you last sent the Ad Copy or the Authority to.
- Your Listing Map: the properties you add with "Add to Listing Map". For each one we keep the outline of the lot on the map, its job reference, the property's name and location as shown on your reading, the total area, the asking price, its status (Available, Reserved, Sold or Withdrawn), the ad copy you made for it and its photos and Website / SEO copy. We do not keep the registered owner's name, the title number or the contact person as details of the listing itself. The documents you uploaded for the reading are kept with it, as described below. A listing is kept until you remove it: it is not deleted when its saved reading is. You can remove it yourself at any time from the Listing Map. If you work in a team, the listings you add are part of the team's shared listings: the team's owner, administrators and the team members who have been given access see them, with your name, and the team's listings, photos, documents and leads belong to one team website. An independent broker's listings are seen only by that broker.
- Your website (Premium): if you turn on "On my website" for a listing that has its Website / SEO copy, anyone can see it on your public page at titlecheckpro.app/listings/your address, and on its own page at titlecheckpro.app/listings/your address/the property's code, for as long as it is marked Available. The page shows your name, PRC licence number, company name, logo and contact details — as you set them in your Business profile, or as you set them for the website under Website look, where you can give the website its own logo and its own contact numbers (your name and licence number always show) — and, for each listing you turned on, its name and location (barangay and town), total area, asking price and its Website / SEO copy as you wrote or changed it, with a picture of the area from above and a circle at least 300 metres wide around its general area. The circle is placed so that the lot is inside it but not at its centre; the outline of the lot and its exact position are never shown on the website, and the Facebook ad copy is not shown there. Nothing is public until you turn a listing on. It leaves the website when you turn it off, mark it Reserved, Sold or Withdrawn, or remove it. Write your website copy with this in mind: it is shown as you wrote it. Search engines. Your website and its properties are public pages, so search engines such as Google may list them, and other websites, apps and search engines may keep a copy. Unless you switch it off ("Search engines may list my website" in the Listing Map), we ask search engines to list your pages and give them a sitemap. If you switch it off we ask them not to list your pages; this is a request that search engines normally follow, but it does not remove anything already listed or copied, and the pages still open for anyone who has the link. Another broker's cross-listed property that appears on your website is marked so that search engines do not list it on your website. We keep your website address, logo and details for the website until you change them or your account is deleted. Once something has been public, visitors and search engines may have kept a copy of it.
- Your website's analytics and advertising (Premium): under Search & Google you may add your own Facebook Pixel ID and Google Analytics ID. If you do, your website shows visitors a cookie notice and loads them only for visitors who allow it. They learn which of your pages a visitor looked at and whether an inquiry was sent, never the visitor's name, phone number, email or message, and never the position of a lot. They run under your Facebook and Google accounts: you are responsible for them, for any notice you are required to give your own audience, and for keeping Automatic Advanced Matching switched off. You can remove an ID at any time and the tool stops loading at once.
- Your photos of a property: on Listing Intake you can add up to 10 photos of a property. Before a photo is kept, it is made smaller on your device and saved again without its hidden details (such as the date, the camera and the GPS position) — only the picture is kept. We keep each photo, with the job reference it belongs to and its order, until you remove it, remove the property from your Listing Map, or delete your account; then it is deleted. You tick a box to confirm that you may share the photos and that they show no faces, house numbers or number plates: please do not add photos with people, or with anything that points to a person's home or vehicle. A photo is public: it is shown on your website — and, if you cross-list the property, on every broker's TitleCheckPro website — and on your Listing Map, while the property is listed there and while it is marked Available on a website. Search engines and apps that show a preview when a link is shared (such as Facebook and Viber) may show it too, and, once a photo has been public, visitors and search engines may have kept a copy. Photos are stored with our storage provider (section 5).
- Your documents and reports of a property. The title, tax declaration, tax map and survey plan you uploaded for a reading are kept with that saved reading as PDF files, whether or not the property is on your Listing Map, so you can open and download them again from Saved Readings (View documents) and, for a listed property, from the Listing Map (View reports). You can also add files yourself there, and delete any of them. Identity documents and authorities are not kept. The reports you make for a property — the Document Consistency Report (the Title Check report), the Due Diligence Report and the Consolidation Report — are also kept with the saved reading (and with its listing, if it has one), as a PDF or Word file, exactly as you made them; a newer report of the same kind replaces the older one. These files carry personal data. A title and a tax declaration show the registered owner's name, civil status and address and the names of adjoining owners, and a report carries the owner's name when you ticked the data privacy box for it (otherwise people are named by role only), so please add them only if you may lawfully hold them. These files are not public: they are kept privately, with no web address, and can be downloaded only by the broker who saved the reading or listed the property and, for a team's readings and listings, by the team members who have been given access to reports by the team's owner. They are never shown on a website, to other brokers, or in a cross-listing. We keep them until you delete them (View reports or View documents), delete the saved reading (unless the property is still on your Listing Map), remove the property from your Listing Map (unless a saved reading still holds them), or delete your account; then they are deleted. They are not removed when the reading's 90 days are over, and they are not deleted automatically. They are stored with our storage provider (section 5), and the downloadable file is named from the area, the town and the title number of the property.
- Your Leads: when a visitor sends an inquiry from your website, we keep it in your Leads tab: the visitor's name, phone number and/or email address, their message, the property they asked about, where they came from (the campaign or website name, when the link carried one), the time, and the status (New, Contacted, Viewing, Closed) and private notes that you add. We also email it to the address you sign in with. Visitors agree, by a tick box, to be contacted about their inquiry, so use their details only to answer it: do not add them to a mailing list, share or sell them. You can delete one lead, or every Closed one, at any time; they are also deleted when you delete your account. They are included in Download my data. Where a visitor asks you to delete or correct their details, please do so.
- Your People: the buyers, property owners and other brokers you choose to keep in your People tab. For each person we keep what you type or add: their name, phone number and/or email address, whether they are a buyer, owner or co-broker, how they like to be reached, where you met them, your private notes, and a timeline of what happened (a note, a call, a message, a viewing, with the date). You also choose why you may keep their details (they sent an inquiry on your website; they asked you to contact them; they gave you their property to sell or rent; or another reason you note), and we record that choice and its date. On Listing Intake, the Name box of the contact person searches your People, and you can press “Save to contact list” to add that contact person of a property to People, with a second phone number, how they like to be reached, their email address, their relationship to the property and your notes; they are kept for the reason “they gave you their property to sell or rent”. We also keep which property each person is the contact person of, and add a line to their timeline when that changes. A person who asked not to be contacted cannot be chosen as a contact person. As soon as a visitor sends an inquiry, we also add them to your People list, tagged Inquiry, with their message and the property they asked about on their timeline, because they sent it to you and ticked the consent box on the form. You can change their stage, add notes, or delete them (with their timeline) at any time. The original inquiry stays in Leads, which we keep as described above, and a person you delete does not come back from it. If a person asks you not to contact them, you mark them "Asked not to be contacted" and the tool stops offering message buttons for them.
Owner progress page: if you choose to, you can give a property's owner a private link to a small page that shows how the listing is doing. It shows only what you tick: the number of views, the numbers of inquiries, viewings and offers (never anyone's name, phone, email or message), your short dated updates, and optionally the price. The owner needs no account and the page uses no cookies. We keep only a scrambled copy of the link, so it cannot be read back; you can switch it off at any time and it stops working at once. It is deleted with the property or your account. We do not read your People or your timelines, we do not share them with other brokers or with anyone else, and we do not use them to send messages. A person and their timeline are kept until you delete them, or until you delete your account. Keep only people you may lawfully keep, use their details only for what they asked you for, and delete them when you no longer need them. - Checking with the owner. On your Listing Map, Ask owner makes a private link for one property. We write a short message for you to edit, using the contact person you saved on Listing Intake (and the broker name and firm from your Business profile). You send it yourself by Viber, SMS or email: TitleCheckPro never sends anything to the owner. We keep, with the listing, that a link was made, how you said you sent it, when, and the owner's answer, new price and note if they reply. The link is kept only as a one-way code, so it can be shown once; if you make a new one, the old link stops working. Please send the link only to the owner or contact person who has agreed to be contacted about the property, and use their answer only to look after that listing. These records are deleted when you remove the listing from your Listing Map or delete your account, and they are included in Download my data. When you press Apply on an owner's reply, we change your own listing as the reply says (the confirmed date, the asking price, Reserved, Sold or Withdrawn); Dismiss changes nothing. If Apply marks the listing Reserved, Sold or Withdrawn, we tell the brokers who accepted to work with you on that property, in the tool and by email, that you marked it and that they should call the owner to confirm. They see your name (they already see it), their own title for the property and the new status, and nothing the owner wrote. Their own listing is not changed. These notices are deleted 30 days after the broker has read them, or when either account is deleted. Instead of sending the link yourself, you may press Email it and type the owner's email address: we then send your message, with the link, from TitleCheckPro's mailbox, signed with your name, and replies go to you. We use the address only to send that one email and do not keep it: it is not saved in your account, your listing, the owner's record or our logs. Only Premium and verified brokers can use it, and no more than 20 owner emails can be sent from one account in a day. Send it only to an owner or contact person who has agreed to be contacted about the property.
- Documents you email through TitleCheckPro, and your Delivered list. You can email a report (Title Check tab), an Ad Copy flyer or an Authority to Negotiate (Listing Intake) to someone, or to yourself. The email is sent by TitleCheckPro, from our email provider (section 5), under your name, with the document attached; replies go to you. We do not keep the document. We keep a line on your Delivered tab — which document, the property's name and job reference, the name and email address it went to, how and when — for one year, and a record of the sending for security. If you work in a team, the team's owner and administrators also see the team's Delivered list. You can remove a line you marked yourself; the lines are deleted with your account and included in Download my data. An Authority to Negotiate carries the seller's personal data (name, civil status, citizenship, address and contact number). Email it only to the seller or to someone the seller has agreed may receive it.
- If you cross-list a property, it is shown on every broker's TitleCheckPro website (as a circle around its general area, never the lot itself), and other brokers using TitleCheckPro see it in their Listing Map with your name, PRC licence and business contact details, so they can work with you on a sale. You can stop cross-listing at any time.
- Working with other brokers. If you add a property that another TitleCheckPro broker already has, you may ask them to collaborate, or tell them you have a buyer. We keep your request and the short note you type, and show the note to the other broker. We do not show them your name or PRC licence unless they accept; if they accept, you and they see each other's name, PRC licence and business contact details, which are the same details a cross-listing already shows. They have 24 hours to answer. If they decline, or do not answer in 24 hours, we tell the other Premium brokers who have a listing in the same town or city that you would like to collaborate there. Those brokers see your name, your PRC licence, the place (the barangay and town, never the lot) and your note. They see your phone number, email and company only if they say they are interested, and then you see theirs. We tell you that this will happen before you send the request. Please do not put a buyer's name or phone number in the note. A finished request, with a record of the brokers who were asked, is deleted 90 days after it was made. A broker who has the property is never told that you tried to add it, except through a request you choose to send. If you and another broker accepted to work together on a property, each of you is told, in the tool and by email, when the other marks it Reserved, Sold or Withdrawn after the owner said so.
- Spotting the same property listed twice. For every property you put on your Listing Map, we keep one-way codes made from what its title says: the title number and lot number, the survey plan number and lot number, the title it was transferred from, and the lines and distances of its technical description. The numbers and lines themselves are never kept, and they cannot be read back from the codes. We use the codes only to tell whether the same property is already on your Listing Map, or on another broker's, even when the plot is missing or drawn a little differently. If it is on another broker's map, we tell you only what "Working with other brokers" above describes, and never who has it unless it is cross-listed. The codes are deleted when the listing is removed from your Listing Map, or when you delete your account.
- Telling the other broker a cross-listing is yours. If you see another broker's cross-listing of a property you hold the exclusive authority to sell, you may send that broker a message with the dates of your authority and the signed authority attached. We email it to them, from you, with a copy to you. It includes your name, PRC licence and business contact details. The authority carries the owner's personal data, so it passes through our server only to be emailed: we do not keep the file, the dates or your message. We keep a short record that you sent it (who, which listing, the file type and size, and when) for security. Nothing on either listing is changed, and TitleCheckPro's owner does not see it. Please use the authority you receive only to sort out the property with the other broker.
- If you stop a cross-listing soon after making it. If you stop or remove a cross-listing within 14 days of making it, we keep the outline and one-way title codes of that property for up to 30 days, only so it cannot be cross-listed again straight away. We then delete them.
- Usage figures: how many readings you made, and what they cost us to run. These are numbers only. We use them for billing, to show you your remaining readings, and to spot misuse.
- Your business profile: your name as licensed, PRC licence number and, on a paid plan, your company name, logo and contact details. They are printed on the reports and ads you make. You can change them at any time under Business profile.
- Problem reports you send with "Report a problem": what you wrote, and what the page adds by itself (the tab you were on, the job reference, the TitleCheckPro version, your browser and screen size, and the last error message shown). No screenshots are taken. They are seen by TitleCheckPro's owner and administrators so the problem can be fixed, and are deleted with your account.
- If you are on a Lifetime plan, your own Anthropic API key. It is stored encrypted and never shown. After you save it, you and we see only its last four characters. We use it only to send your own readings to Anthropic, which bills your Anthropic account directly. You can remove it at any time under "Your API key"; it is also deleted with your account.
Verified Broker
- After your first visit to Listing Intake or Listing Map you have 30 days to get verified. Until you do, and after the 30 days, you can still prepare drafts; publishing a listing on the map or website and emailing reports need a verified licence. You do the check once, and again when your PRC card is renewed (after your card expires you have 60 days to upload the new one).
- You can decline: if you do, you keep everything else.
- The "Verified Broker" badge on your reports, flyers and website shows only those two words, and lasts until the "Valid until" date on your card. We never show your photos or card details to anyone.
What we do not keep
- The documents you upload to the reading tool. They are sent to Anthropic (section 5) to be read, and are not stored by us. The result of a reading is held on our server for up to 5 minutes, so that a reading interrupted by a slow connection can be finished without charging you again. After that, it exists only in your saved readings.
Who can see your saved readings
- Independent brokers: only you, through your own account.
- TitleCheckPro team accounts: TitleCheckPro's owner, administrators, staff and agents work as one company team. The saved readings made by a team member are shared with the other members of that team, so that anyone on the team can open and continue the work on a property. A team member can delete only the readings they saved themselves. Team members may use them only for the company's work, and may not share them outside the company.
- For an independent broker, TitleCheckPro's staff, administrators and analysts have no screen or tool in TitleCheckPro that shows your saved readings. What they can see is limited to your email, name, PRC licence number, plan and usage figures and, on a Lifetime plan, the last four characters of your API key.
- Your saved readings are stored with our database provider, Supabase (section 5). Access to that database itself is limited to TitleCheckPro's technical administrator, and is used only to keep the service running and secure, or when the law requires it.
Getting a copy of your data
- Under Business profile → Your data → Download my data you can download, in one file, everything we keep about your account: your account details, business profile, saved readings, the listings on your Listing Map (their details, ad copy and website copy as text, and the web addresses of their photos, without the map), the inquiries sent from your website (Leads), the people you keep and their timelines (People), the owner-check links you made and the owners' replies, usage and problem reports. For a stored API key, the file shows only its last four characters. The documents and reports kept with a saved reading or a listing are not in this file; you can download each one with View reports or View documents.
Your free reading
- A broker with a free account may read one title for free. To keep it to one, we record, for each free reading, your email address in a standard form (lower case, without any "+tag", with Gmail dots removed), your PRC licence number, the date, and how many document reads were used. The record contains nothing from your documents.
- We keep this record after you delete your account, so that the same email address or licence number cannot be used for another free reading. We use it for nothing else. The free reading costs us money each time; the record is how we make sure it is offered once per broker.
Welcome and reminder emails
- After your first sign-in we send you one welcome email about your account. It contains no offer.
- If you ticked "tips and reminders" when you signed up, we may also send up to three short reminder emails in your first ten days: when you have not yet read a title, after you use your free reading, and a plan guide. Each one has a link that stops them at once, and you can change your choice at any time in your Business profile. The box is never ticked for you.
- We record that you ticked the box and when, and which of these emails we have sent you, so that we do not send any twice. This record is deleted with your account.
The cross-listing pilot
- If we invite you to the pilot, we keep your name, email address and PRC licence number to make your invitation, and the date it was made. When you enter your code we also keep when your 90 days start and end and which terms you accepted.
- As the pilot goes on we record your progress: how many readings you used, and which properties you cross-listed and when. We use this only to run the pilot, to apply its rules fairly and to see how it works.
- Your pilot record is deleted with your account. An invitation that was never used is deleted when we remove it.
If we turn off or delete your account
- We may turn off an account that is misused, for example shared with others or used to run up costs. You won't be able to sign in until it is turned back on; your saved readings are kept in the meantime.
- If your account is deleted, your account, profile, saved readings and Listing Map are deleted with it. The one record we keep is the free-reading record described above, if you used a free reading. Usage figures are kept for our accounts but no longer linked to you.
- You can delete your broker account yourself at any time, under Business profile → Your data → Delete my account, or ask our Data Protection Officer (section 11). Team accounts are removed by the owner.
7. Storing data outside the Philippines
Some of our providers store or process data in Singapore, Indonesia and the United States (section 5). We choose providers with strong security measures and use them under agreements that require them to protect your data, as RA 10173 requires.
8. Marketing emails and anonymised examples
Marketing emails. The reminder emails described in section 6 are the only marketing-style emails we send to broker accounts, and only to brokers who ticked the box. For everyone else: we'll send you offers or news only if you tick a separate box saying you want them. Ordering a report doesn't sign you up. Every marketing email has an unsubscribe link, and unsubscribing doesn't affect your order.
Anonymised examples. We may use findings from reports as examples (for example a sample report) and to improve the service, only after removing names, contact details, ID and tax numbers, and details that would identify the specific property. We'll show an identifiable property only with the owner's permission.
9. How long we keep it
| Data | How long |
|---|---|
| A broker's verification photos (and card close-up, if one was needed) | Deleted as soon as a person has decided, and in any case within 14 days of sending if no one has decided |
| The card details a broker confirmed, the consent date and the result | While the account exists; deleted with the account |
| Documents uploaded for an order that is never paid | Deleted 72 hours after upload |
| Government ID images | Deleted within 7 days after the report is sent |
| Title, tax declaration, tax map and other documents | Deleted 30 days after the report is sent, or sooner if you ask |
| Documents and reports kept with a saved reading or a listing on a broker's Saved Readings or Listing Map | Until the broker deletes them, deletes the saved reading (if the property is not listed), removes the listing (if no saved reading holds them) or deletes the account |
| Owner-check links and the owners' replies | Kept with the listing; deleted when the listing is removed from the broker's Listing Map or the account is deleted |
| “Call the owner now” notices between brokers who work together | Until the told broker presses “Got it”; deleted 30 days after that, or when either account is deleted |
| Full report as issued | 2 years, for corrections, complaints and claims |
| Redacted copy of the report (names, contact details and ID numbers removed; property details may remain) | 10 years, as a record of what we issued |
| Billing and accounting records | 5 years, as tax rules require |
| System and security logs | 12 months, longer only if needed for a specific incident or claim |
| The free-reading record (your email in standard form, your PRC licence number, the date, how many document reads were used) | Kept after your account is deleted, so a second free reading cannot be claimed with the same email or licence number. Used for nothing else |
| Your "tips and reminders" choice and the list of welcome and reminder emails sent to you | Kept with your account and deleted with it. Switching the choice off stops the reminders at once |
| Your pilot invitation and progress (name, email, PRC licence number, dates, terms accepted, readings used, properties cross-listed) | Kept with your account and deleted with it. An invitation never used is deleted when we remove it |
Deletion runs automatically. If a security incident or legal claim is under way, we may keep the relevant records until it's resolved.
10. How we protect it
- Documents are stored privately. They're never public and have no shareable links.
- The website uses encrypted connections (HTTPS).
- Only authorised people can open orders, and system access is logged.
- If a personal data breach occurs that is likely to cause you harm, we'll notify you and the National Privacy Commission as the law requires.
11. Your rights
Under RA 10173 you have the right to:
- be informed about how your data is used (this policy);
- access your personal data and get a copy;
- correct data that is wrong;
- erasure or blocking: ask us to delete your documents sooner, or stop processing;
- object to processing based on consent or legitimate interest, including marketing;
- data portability: get your data in a commonly used electronic format;
- withdraw consent at any time (this doesn't affect processing already done);
- complain to the National Privacy Commission (privacy.gov.ph).
How to ask: email orders@titlecheckpro.app or reply to your order email, with your order reference if you have one. We'll respond within 15 working days and may ask you to confirm your identity first.
Some requests are limited by law. For example, we must keep billing records for the required period even if you ask us to delete them.
If you withdraw your consent for verification, we delete the card details you gave us, and your "Verified Broker" badge is removed.
12. Age
TitleCheckPro is for people 18 years and older. We don't knowingly collect data from minors. If we learn we have, we'll delete it.
13. Changes to this policy
If we make significant changes, we'll update the date below and show a notice on the website. Orders are handled under the policy in force when they were placed, unless the law requires otherwise.
